We are looking for an Office and Operations Manager to join our small, dedicated team for 30 hours a week who will be:
- Responsible for the management of the Pewsham Community Centre.
- Supporting Grants Managers by entering data relating to new applications onto Salesforce, generating data reports and acting as first point of contact for grants related enquiries.
- Supporting our Communications Manager with keeping the One Chippenham website up to date by entering data of new businesses and events.
- Taking minutes at team and committee meetings as required, ensuring that they are typed up and circulated promptly.
- Undertaking governance support by managing suppliers, providing admin support for trustees, and supporting with CBLC project management and delivery as required.
- General administration including filing, sorting incoming and outgoing post and other ad hoc tasks as required.
- Undertaking reception duties – being the first point of contact for enquiries, whether in person, by telephone or by email.
You will have a friendly, and professional manner with a business administration qualification or demonstrable office management/operations experience. You will be a focused and detail orientated individual with good communication skills, to allow you to provide effective support to colleagues, Trustees and suppliers. Your strong organisation skills will enable you to multitask and prioritise to keep on top of emails and a varied to-do list.
A high standard of written English and attention to detail is important for handling correspondence, minute taking and ensuring data is entered accurately onto our websites and databases. IT literacy is essential – including MS Office packages (primarily Word, Excel and Outlook) plus using the internet for research. Any additional experience of working with databases or websites (just inputting and updating information, not web design) would be a bonus.
The work pattern is based around our opening hours (Monday to Friday 9am to 3pm) with occasional evening meetings. There is flexibility to work the hours over 4 or 5 days.
The salary for the role is £30,000 (pro rata for 30 hours a week, which equates to £24,000 and we offer above the statutory minimum holidays from day one (starting at a full-time equivalent of 31 days including bank holidays and 3 directed days between Christmas and New Year, rising with service to a maximum of 36 days pro rata).
